Marketing and Promotion Committee: Help in getting the word out to the clubs and to the world. This is a two – pronged focus.1. Internal distribution to the clubs. 2. External distribution to the world Communications Coordinator: All communications to the public should go through a central location so there is one face of the organization to the public. This person should have great editor /proof-reading skills as well as a marketing background. They should be in close contact with most committees as need arises to broadcast anything. This person will be the point person for any questions back from the public and be responsible to get the answer to them or send the question on to the correct person to get the answer.
Theme, Logo, Website Committee:
Off-Site Day Time Activities Committee: Put together Hiking, Biking, Climbing, Caving, any other active outdoor activity off site that we can think of.
Tours Committee: Find places of interest around the area (History, Art Exhibits, Concerts, Fairs, Wine, Etc.)
Pre/Post Trip Coordinators: There is great latitude here for creative visionaries – you can plan your own mini-event, before or after the International event. Get in early to make your proposal to the MOCA board and the event committee.
On Site Daytime Activities Committee:
Come up with plan to utilize as much of the camp we can. Reach out to any volunteers that are willing to do daytime workshops.
Night time Activities Committee: Music, Dancing, Workshops, Talanet Shows, Etc.
Religious Activities Committee: Responsible for delivery of religious activities. Typically this is a service for Friday evening, Saturday Morning and Havdallah. There is opportunity for creative design and delivery, or organize use of what we have.
Registration for the Event: Work with Thriva (the current registration system we use) in creating and managing the registration page. Track the process as people register once we go live and deal with issues and people’s requests. Keep the system up to date on a timely basis throughout the process.
Warm n’ Fuzzy: This team of folks are targeted at making the event 'warm and fuzzy' by working on ice-breakers, t-shirts, giveaways and such. Some say this is the best position of the entire event!
Coordinator for the Day: Be the "go-to" person for the one day of the event. Answer Questions and address concerns. work lcosely with the Event Chairs to make sure the day goes smoothly.
Logistics: This team will focus on moving us around throughout the whole event- whether it’s buses, vans, cars or trains. The goal will be to figure out what we need and where we need 'em. Responsible for creating the schedule for transportation at the event and pre/post trips. They will be the front person that deals with the rental companies and getting quotes from these rental companies. They will also need to track transportation during the event by making sure vehicles leave and return on-time with help of the Quarter Master(s). Provide the information the Quarter Masters need to do their jobs. Also this team will track if there are any issues with the vehicles and try to come up solutions for any issues (including contacting the rental companies for repairs).
Technology: This team will help us with various technologies, including things like our registration system. Are there better tools we could use? Updating the website(s) as needed.
Safety: Making sure all activities at the event are within the limits we set in terms of risk.
Web Site: Help keep out web site up to date with event information
Data Entry: There's so much information gathered for this event for registration, transportation, activities and locations. We need to keep track of everything, and we need people enter, organize and report on information.
Leader Packets: Help compile the information and produce the leader information packets for all or parts of the event. Information for the leader packets will be collected through the activities database, internet, and the person who scouted and/or posted the activity and any other sources to be discovered.
Volunteers Coordinator: Help keep track of who has volunteered for what and what jobs still need filling. Help keep these people in the loop of information they need in a timely basis. Keep in close contact with the chair people and send timely reports of the status of the volunteers.
Participant Transportation Coordinator: Help get Participants to and from the event from designated event airport, and/or pre& post trips. This person will track who needs to go where and when before and after the event. Help arrange carpools to get to or from the event. He/She must be detailed oriented and be able to sift through databases to catch any issues with participants travel plans (timing issues, missing information, wrong information, etc.). Be willing to reach out to participants that have wrong or missing information. Familiarity with travel industry would be beneficial but not necessary.
AT THE EVENT WE NEED
Quartermaster(s): Be responsible making sure the Activity Leaders and Vehicles have their materials need (Radios, First Aid Kits, Maps, tickets, money, emergency contact info, camp contact info, leader packets for the day, etc.). Responsible for recharging the radios overnight. Be available in the morning checking that vans, busses and personal cars going out to activities are leaving on time and have what they need.
Activity/Workshop Leaders: Be a leader of an activity/workshop during the event.
Bus Captains: Be in charge of people collecting people at airport and getting them on the bus to get them to camp.
Registration at the Event: Be a volunteer to take get people their materials once they arrive at the event.
Accountant / Book-keeper We need some help with our treasury / book-keeping. Proir experiance in the area would be most helpful. 5-10 hours/ month through October, possiblity to contine after that if all parties agree.
